Privacy Policy
Chat2User ("we," "us," "Chat2User") respects your privacy and is committed to protecting the personal data you share with us. This policy explains what we collect, why, how we use it, and what choices you have.
1. Who we are

2. What data we collect
Chat2User is a self-hosted software licence — once installed, all lead data stays on the Customer's own infrastructure. This policy covers the limited data we collect through our website and during the sales / support relationship.
- Website visitors: IP address, browser type, and timestamps — used solely for security and basic analytics on our marketing site.
- Customer contact data: business name, contact name, email, phone, billing address, and GSTIN (if any) — collected when you purchase a licence or request a demo.
- Payment metadata: transaction reference and invoice details. We do not store card numbers — payments are processed by our payment provider.
- Support correspondence: emails and WhatsApp messages you send us during support.
We do not have access to end-user lead data captured by your installation of Chat2User — that data lives on your servers.
3. Why we use it
- To deliver the licence, installation help, and ongoing support you have purchased.
- To issue tax invoices and meet our statutory obligations.
- To respond to your support questions.
- To send you product updates and security advisories about Chat2User.
We do not sell, rent, or share your data with any third party for marketing.
4. Lawful basis (DPDPA)
Under the Digital Personal Data Protection Act 2023, we process personal data on the following lawful bases:
- Consent: when you contact us, request a demo, or sign up for product updates.
- Legitimate use: where we process Customer account data to deliver the licence and support you have contracted for.
- Compliance: where we are required to retain records by law (e.g. GST invoices for 8 years).
5. Who we share it with
- Our payment provider — to process your licence fee payment.
- Our accountant — to issue GST invoices and file statutory returns.
- Email / WhatsApp providers — to deliver our support replies to you.
- Regulators — when required by valid legal process.
6. How long we keep it
- Customer contact and licence records: kept while your licence is active and for 3 years after your last interaction.
- Billing records: 8 years (statutory).
- Website server logs: 90 days.
7. Your rights (DPDPA)
As a Data Principal, you have the right to:
- Know what data we hold about you.
- Correct or erase your data.
- Withdraw consent at any time.
- Nominate another individual to exercise your rights on your behalf.
- File a complaint with the Data Protection Board of India.

8. Security
We protect your data with reasonable industry-standard measures: TLS for all network traffic, encrypted backups, access controls limited to authorised personnel, and incident response procedures. No system is 100% secure, but we will notify affected users within 72 hours of any confirmed breach.
9. Children
Our service is not directed at children under 18. We do not knowingly collect data from minors.
10. Cookies & tracking
Our marketing website uses essential cookies only (session ID, CSRF token). We do not use third-party advertising cookies. The product itself, when installed on your servers, stores a local session ID in the visitor's browser localStorage to remember an ongoing conversation — this is cleared when the visitor closes the tab.
11. Updates to this policy
We may update this policy from time to time. Material changes will be notified by email and via a banner on the website. Continued use of the service after changes means you accept the updated policy.
